Refund Policy

This Refund Policy describes the conditions under which QueryPilot Academy will refund fees paid for its cohort programs and the process by which a refund may be requested. The policy is intended to set clear, fair expectations and to reflect the consumer rights available under the laws of the Republic of Korea.

1. Scope

This policy applies to fees paid by individual participants for cohort programs delivered by QueryPilot Academy. Corporate cohort engagements, where the contracting party is an organisation rather than an individual, are governed by the engagement letter signed for that engagement; this policy will inform the drafting of those letters but does not displace their terms. Free workshops, sample lessons, and waitlist registrations are not within the scope of this policy because no fee has been paid.

2. Contact for refund requests

Refund requests should be addressed in writing to [email protected] from the email address used to register for the cohort. The request should identify the cohort and the date of registration, and should indicate briefly the reason for the request. Verbal requests cannot be processed; the written record protects the participant as well as QueryPilot Academy.

3. Exceptions and non-refundable items

Where access to a cohort sandbox has already been used substantially — for example, where more than two of the four weekly mentor sessions have been attended — a refund may not be available, save where the participant relies on a statutory consumer protection right. Custom-built corporate sandboxes prepared for a specific engagement are non-refundable once provisioning has begun, although the corresponding programme fees may be partially refundable in accordance with section 4.

4. Eligibility

Participants are entitled to a full refund of fees paid where written notice is received not less than fourteen days before the scheduled start of the cohort. Where notice is received between fourteen and seven days before the start, a fifty-per-cent refund is available; the remaining fifty per cent reflects the operational commitments already made for the cohort. Where notice is received within seven days of the start or after the start, refunds are considered on a case-by-case basis with reference to the proportion of the cohort already delivered.

5. Processing timeframe

Refund requests are acknowledged within three business days of receipt. Eligible refunds are processed within fourteen days of acknowledgment. Where a refund must be issued through the original payment provider and the provider’s own processing timeframe is longer, that longer timeframe applies; the participant will be informed of the expected date in the acknowledgment.

6. Process

Following receipt of a written refund request, QueryPilot Academy will: confirm receipt within three business days; review the request against the eligibility criteria in section 4; communicate the determination, including the proposed refund amount and the expected processing date; process the refund through the original payment method where technically possible. Where the original payment method is unavailable, QueryPilot Academy will agree an alternative method with the participant in writing.

7. Consumer rights

Nothing in this policy limits or excludes the statutory rights available to consumers under Korean law, including the rights of withdrawal applicable to certain distance-purchased services. Where a statutory right provides a more favourable outcome than the terms of this policy, the statutory right applies. Participants are encouraged to consult the Korea Consumer Agency or independent legal advice in case of doubt about their statutory entitlements.
